Use the venue's labelled quote
Enter a current mini-golf-only rate or written party quote. Do not substitute a headline bundle unless every guest will use the included activities. Confirm minimum guest counts, non-player charges, gratuity, booking fees, deposits and cancellation terms.
The contingency is a planning cushion, not a venue fee. The result is not a checkout price and is not stored. The party guide lists questions that often change the final total.
Build the input from a written quote
Separate per-player amounts from fixed charges before entering them. Mini golf and food normally belong in the per-guest fields; a room rental, host fee or required deposit belongs in fixed fees. Enter the tax rate that actually applies to the quoted items rather than assuming every line receives the same treatment.
Run at least two scenarios: the expected attendance and the venue's minimum billable attendance. If non-playing adults, siblings or late additions have different rates, calculate them outside the tool or include a documented average only when that remains clear to the organizer.
Read the contingency correctly
The contingency helps reserve money for uncertain attendance or an omitted small charge. It is applied after the entered subtotal and tax, so it should not duplicate a gratuity or service fee already in the quote. Once the venue supplies a final total, replace assumptions with those numbers and reduce the cushion only if the cancellation and change terms are understood.
